Custom Properties on User Object - and User based Workflows

What is new?

HubSpot introduces two important enhancements for the User object:

  1. The ability to add custom properties for HubSpot users
  2. User-based workflows

Why is this important?

  • Enables customization of HubSpot to individual business processes
  • Improves management and utilization of employee data in the CRM
  • Opens new possibilities for reporting and automation
  • Optimizes internal processes, such as onboarding new HubSpot users

How does it work? Custom properties for users:

  1. Go to Settings > Users & Teams > Users > [Select User] > Preferences and Custom User Properties
  2. Follow the property creation wizard
  3. Fill in the data under Settings > Users & Teams > Users > [Select User] > Preferences and Custom User Properties

Note: The user must be assigned a Sales or Service Enterprise Seat to receive custom data.

User-based workflows:

  • Create workflows specifically for the User object
  • Use the new custom properties as triggers or actions in these workflows

Practical example: Optimized Onboarding of new HubSpot users Initial situation: Your company is growing and regularly hires new employees who need to use HubSpot. The onboarding process was previously manual and time-consuming.

Solution:

  1. Create custom properties for users:
    • "Onboarding Status" (Dropdown: Not Started, In Progress, Completed)
    • "Department" (Dropdown: Sales, Marketing, Service, etc.)
    • "Start Date" (Date)
  2. Set up a user-based workflow:
    • Trigger: New HubSpot user is created
    • Actions: a) Set "Onboarding Status" to "Not Started" b) Send an email to the team leader with information about the new user c) Schedule a task for IT support to set up the user account
    • Condition: When "Onboarding Status" is set to "Completed" d) Send an onboarding experience survey to the new user

Result:

  • Automated and standardized onboarding process
  • Better overview of new user progress
  • Time savings for HR and IT teams
  • Improved onboarding experience for new employees
