  1.  Setup

Register here with your FVM email address on Asana and choose your own password.


  1. Main Areas

    1.1 ''Home''

On the homepage (Home), you have an overview of current tasks, goals, and projects in the form of dashboards that you can customize under "Customize" and adjust and move by drag and drop.

1.2 “My Tasks’’

This area is visible only to you and displays all tasks assigned to you or created by you.

You can view them in list, project, and calendar views.

Additionally, you have the ability to add your own tasks, milestones, and sections:

a.) Milestones: Points in the course of a project where specific goals are expected to be achieved. They serve as rungs on a ladder to help you reach your goals and are used to mark significant decision points or activities as completed. Unlike tasks, milestones do not have a duration and are more of a marker.

Example:

Goal = Complete project by the end of the third quarter.

Milestone = Selection of colors, creation of design templates, approval of site plan, etc.

b.) Sections: Main categories into which tasks fall, e.g., "In Progress".


Filter and sort

Furthermore, you have the option to filter your task view, such as by completed or incomplete tasks, as well as by deadlines.

You can also arrange your tasks by start date and much more here.

Über das Funktionsfeld hast du drei verschiedene Möglichkeiten:

welche dir Informationen zu deiner Aufgabe geben.  

Diese kannst du hier de-/ und aktivieren.

2.      Rules


Rules enable faster coordination of routine tasks and facilitate easier setup of workflows.

Use recommended or custom rules to automate your task force as much as possible and provide it with a logic that makes your work easier.

3.     Applications

To create integrated workflows with the tools, add an app such as Outlook or Teams.


Furthermore, in Asana, you have the ability to create multiple teams. You can assign various projects to these teams, allowing different projects to be worked on simultaneously within a single team.

You can view the different projects in your team overview, where you can add, remove, or create a new project as needed.


1.3 Inbox

In the Inbox you can...

1. You can view all changes to tasks within your teams in the Activities section.

2. Furthermore, you can archive messages and view them in your archive.


3. Reports

Here you can assemble your personal dashboard from various charts to keep an eye on your project.

4. Portfolio

Here you have the opportunity to create and view a portfolio of your projects. You also have the option to create field types here.

5. Goals 

Create company-wide goals here that are measurable.

However, this does not mean that the goal needs to be visible to everyone. Limit the visibility of the goal to those responsible for achieving it or the entire company.

You can also set the responsible parties, the timeframe, and the progress metrics for monitoring.


6. Projects, Teams & Templates

Create teams and their associated projects in Asana to categorize various to-dos under meaningful topics.

6.1 Teams

Or through the right-hand sidebar under the "+" symbol, where you can also see all the teams you've been added to.

6.2 Projects

If you want to create a project, click either on the red "+" in the top menu bar,

or click on the respective team where you want to create a project, and then click on "New Project".

6.3 Templates

Templates serve as guides and templates that already include specific to-dos. For example, at FVM, there is a workshop template that is attached at the beginning of a new workshop in a client (Asana) project.

You can create projects completely from scratch or use a template, which can be created via "New Template",Bildschirmfoto 2023-03-01 um 11.22.23

or from an existing template. Click on "Use Template" when creating a new project. After creating the project, accessing it will gradually load the associated tasks.

Task-Templates

In addition to templates, you can also create task templates (individual task templates) that you can then add to a project under "Customize" and "Task Template" after creating the project.
